# Sales call recording software that coaches while you sell.

> Ricavi records your reps’ sales calls on Google Meet, Microsoft Teams, and Zoom. It coaches each rep live and drafts CRM updates for the rep to approve.

This is the Markdown version of Ricavi’s meeting recorder page, written for AI assistants. It follows the page section by section. The figures are the page’s approved figures. Times and scores come from one example call.

## The five things on this page

1. It records calls and coaches your rep live.
2. Each call gets one page with everything.
3. Your rep approves each CRM update first.
4. Set it up once. Then it’s on every sales call.
5. Your admin picks which calls get recorded.

## Meeting recorder for your sales team

Ricavi records your reps’ sales calls on Google Meet, Microsoft Teams, and Zoom. Unlike an AI note-taker, it also coaches each rep while the buyer talks. Then it drafts the CRM updates for the rep to approve.

- SOC 2 Type I and II
- ISO 27001
- GDPR
- No external training on your data
- Press record. Ricavi writes the rest.
- Pick the meeting and press record. Ricavi keeps the audio and writes the notes, so you can **listen to the buyer**.
- **Start from the meeting**, already linked to its deal
- **Get coached** in a sidebar while you talk
- When you hang up, **the notes, a scorecard, and drafted CRM updates** are ready
- CRM updates sync only **after someone approves them**
- Record
- Coach
- Review
- Approve
- **Brightwell - PRO rollout demo:** 10 July 2026 · 42 m 18 sec
- Audio, transcript, summary, key moments, and scorecard, on one call page.
- Drafted, and waiting for approval

## What Ricavi does on each sales call

1. **Records sales calls.** Your rep presses record on Google Meet, Microsoft Teams, or Zoom.
2. **Coaches reps live.** A sidebar only your rep sees shows what to say next.
3. **One page per call.** It holds the audio, a transcript, key moments, and a score.
4. **Drafts CRM updates.** They sync only after your rep approves them.

- 83%: less admin. Ricavi writes the call notes, drafts the follow-ups, and updates the CRM once reps approve.

## Who sees what: only your rep sees Ricavi

Your prospect sees a normal call. Your rep sees Ricavi beside it.

- **Recording, transcript, and summary:** Your rep and their manager see them. Your admin sets which calls are recorded.
- **Scorecard:** Your rep sees their own. Their manager sees their reports’.
- **Coaching chats:** Private unless your rep shares them. A manager sees shared chats, read-only.
- **Your prospect sees:** That’s the default. Your admin can turn on a named bot that everyone sees.
- **Your rep sees:** The same call with Ricavi beside it. Only your rep sees the nudge.
- **The manager’s screen:** Their reports’ recordings, transcripts, scorecards, and team forecast. Coaching chats only if shared, read-only.
- **The admin’s screen:** Sets which calls are recorded and who can access them, chooses whether a named bot joins, and sees adoption analytics.
- By default no bot joins and no notification appears. Recording mode, retention, and which calls are recorded are set by your admin to match your consent requirements.
- When your admin turns on a visible, named bot, everyone on the call can see it. Roles build on each other, so an admin who manages a team also sees what a manager sees.
- Prospect · Brightwell
- A normal call. Nothing is added.

## For RevOps: CRM updates drafted from the call, approved one by one

After each call, Ricavi drafts the follow-up, the stage change, and the CRM updates. Each draft waits until the seller edits it, if needed, and approves it. Then it’s sent from their own account.

- Before the meeting: Ricavi’s deal page for Brightwell. The deal is at risk. Only one contact is on record, and there’s no agreed problem statement.
- After the meeting: Ricavi’s Actions page. A follow-up email to Hannah Moore is drafted and waits, with Send email, Edit draft, and Dismiss.

- Edit drafts if needed, then **approve each update one by one**
- Audio, transcript, notes, key moments, and score, all on one page.

## What Ricavi is: A note-taker tells you what happened. Ricavi coaches your rep live

An AI note-taker is a tool that records your call and writes a summary when it ends. Ricavi records the same call. It also helps your rep while the buyer is still talking. Here’s one call, recorded by both.

- One sales call, recorded by an AI note-taker and by Ricavi
- **An AI note-taker:** Recording. No help.
- **Ricavi:** Records the call and coaches your rep live.
- **The buyer pushes back on price.** A sidebar only your rep sees shows what to say back.
- **Nobody has asked who signs off yet.** The sidebar gives your rep the question to ask.
- **The call ends.** The note-taker: a summary of what was said. Ricavi: a score that names the skill to work on, and a follow-up drafted for your rep to approve.
- Both record the call and write a summary. Ricavi also coaches the seller while the call is live.

## The call page: everything from the call, on one page

This is the page your rep opens after the call. The audio sits next to the transcript, key moments, and scorecard. So does a coaching chat that already knows the call.

1. **Hear the call.** Each call on Google Meet, Microsoft Teams, or Zoom gets a transcript. Play back any moment.
2. **Key moments.** Buying signals, price questions, rival names, and risks are flagged on the timeline. Each one shows its time.
3. **Score and notes.** Each call is scored against your sales method. Each score links to a moment in the call. The notes sum up the outcome.
4. **A coaching chat that knows the call.** Ask what to do differently. It answers from this call’s audio, transcript, and score.

## For your admin: your admin sets the rules once. Ricavi records only the calls that match

By default, nobody on the call sees a bot or a notice. Change a rule below and the example day changes with it.

- Recording rules
- Google Meet, Microsoft Teams, Zoom
- Only people from your company
- Kept for the period you set
- No bot, no notice.

## For legal and IT: what Ricavi keeps, and what it doesn’t

Before your team signs off a call recorder, they ask these three things.

- **Kept:** The audio of the call, A transcript labelled by speaker, The summary, Key moments and bookmarks, The scorecard
- **Never written to your CRM:** CRM changes nobody approved, Drafts you dismissed
- Your admin sets how long recordings are kept. After that, Ricavi deletes them.

## Who does what, and when: how to record sales calls with Ricavi

Set it up once. Then each call takes one press.

**Set the recording rules**

**Add the Chrome extension**

**Press record**

**Approve what it wrote**

- Your admin, once
- Plug (slides into the socket)
- Each seller, once
- Each call
- Approve (the tick draws on the page)
- After each call
- Set it up once.
- Then it’s on every sales call.
- every discovery call, every demo, every renewal

## Where Ricavi sits: fits the calls and CRM you already run

Calls come in from Google Meet, Microsoft Teams, and Zoom. Ricavi records them and reads the deal in your CRM. Drafted updates go back only once your rep approves them.

- Records where your calls happen. Sits above your CRM.
- Account, deal, and contacts
- Drafted updates
- So the pre-call brief lands 30 minutes before each call.
- Connected when you start, with your calendar.
- Records where your calls happen. Drafts wait for the rep.
- Sign in with Google SSO, Microsoft SSO, or SAML (Okta, Azure AD).
- These are the tools in Ricavi’s docs today. Ask us about any other tool you use.
- Not a DIY product. Installed and monitored by sales and technical leaders.

## What should a sales call recording give you

A sales call recording should give you a searchable record of each call. It should coach the seller live, draft CRM updates for the rep to approve, and follow your recording rules. Ricavi does all of it. Here’s one call, from the calendar to the CRM.

- A sales call is on your rep’s calendar.
- Your recording rules decide if it’s recorded. Your admin sets them once.
- By default no bot joins and no notification appears. Your admin sets this to match your consent rules.
- Your rep hangs up.
- The call page holds the audio, a transcript, key moments, and a score.
- The CRM needs the notes and the next steps.
- Ricavi drafts the follow-up and the CRM updates for the rep to approve.
- A manager wants to hear the call.
- Access follows roles. After the time your admin sets, Ricavi deletes the recording.
- Last reviewed 20 Oct 2026 · Source: Ricavi product documentation
- Prompts the rep in the moment, while the buyer is still talking.
- Ricavi scores each call on five skills and against your methodology.
- Their reports’ recordings, transcripts, scorecards, and team forecast.

## FAQ: questions teams ask us first

### What is sales call recording software?

Sales call recording software **records your sales calls and keeps a searchable record of each one**. Ricavi records calls on Google Meet, Microsoft Teams, and Zoom. During the call, it coaches the rep in a sidebar only they see. After it, you get the transcript, key moments, a score, and drafted CRM updates to approve.

### Which sales calls does Ricavi record?

Only the ones your rules allow. **Your admin sets the recording rules once**: all calls, external calls only, or internal calls only. They can also skip whole domains. So Ricavi will only record sales calls that match the rules, on Google Meet, Microsoft Teams, and Zoom. Every other call is skipped.

### Does anyone on the call see a bot or a notice?

Not by default. The Chrome extension records from the rep’s side, so **no bot joins and no notice appears**. Consent rules differ by place. Some need one person’s consent, and some need everyone’s. So check with your legal team first. If your rules call for it, your admin can have a named bot join instead.

### How does real-time coaching work on a call?

Ricavi is **real-time sales coaching software** as well as a recorder. While it records, a sidebar only the rep sees tracks talk ratio, pace, and tone. It ticks off each step of your sales method as the call goes. After halfway, it prompts any step still missing. When the buyer objects, it suggests a reply.

### What do I get after a recorded sales call?

Each recorded sales call gets one page. It holds the audio, a summary, and **a searchable transcript labelled by speaker**, so sales call transcription is included. A search in the transcript takes you to that moment in the audio. Key moments are flagged with a timestamp. You also get a scorecard and drafted CRM updates to approve.

### Does Ricavi update the CRM by itself?

No. Ricavi **drafts the CRM updates, and the rep approves each one**. It suggests stage changes, next steps, call logs, and contact updates. The rep can edit any of them first. Nothing is written to your CRM until the rep approves it. Your admin can also limit which CRM fields Ricavi can change.

### How long are recorded sales calls kept?

As long as your company chooses. **Your admin sets how long recordings are kept.** When that time is up, Ricavi deletes the recording. Your admin also sets who can open recorded sales calls, by user and by team.

### Is Ricavi just an AI note-taker?

No. A note-taker records the call and writes a summary. Ricavi does both, and it also **coaches the rep while the call is live**, so sales call coaching starts on the call. Afterwards, it scores the rep on five skills and on your sales method. Then it drafts the CRM updates and the follow-up for the rep to approve.
